Scheduling a Professional Development Event

Once your course has been approved, you can schedule your professional development events at any time. If you provide training on the same topics several times a year, you also can schedule multiple training events for that course without having to get the course approved each time.

We recommend that you schedule your approved training at least two weeks in advance. Also, please note that events can only be scheduled up to 2 years from the original event date.

1. To begin, click Training Entry from the left navigation panel

2. Click New Event

3. Click Select on the course that will be scheduled as an event

Note: There are a few ways to make scheduling your event easier.

  • Filter courses on the right side of your screen to narrow your results. For example, you can filter by Course Tag Type and choose "Pre-approved Curriculum" to search for pre-approved courses
    • Pre-approved Curriculum refers to a specific designation used for certain courses that require an endorsement and have trainers assigned by the sponsor organization
  • When scheduling an event, the course may be:
    • one that you or your organization submitted and had approved, or
    • a course submitted by another individual or training organization where you are listed as an approved trainer
  • If the course has expired, it must be renewed and resubmitted for approval before it can be scheduled as an event

4. Click +Trainer to assign new trainers

Only individuals with active accounts can be assigned to events

5. Use the Filter Trainers feature to find the right trainer

You can also assign non-approved trainers by checking the box at the top of the search bars

"Non-Approved" trainers are designed for individuals who do not have an Aspire trainer profile. Trainers with individual profiles in Aspire are expected to register as trainers within the system.

6. The Administrative Access box will enable additional trainers to share administrative tasks

Tasks include entering rosters, receiving notifications, and rescheduling permissions

7. While you can only select one Administrative Training Sponsor Organization, you can add multiple Event Co-Sponsors to your event via your Trainer Profile or Organization Profile. Co-sponsors have limited managing access and can modify the event roster and documentation. You can find your co-sponsor organization by clicking Select Training Sponsor and searching from a list of registered organizations.
