The Aspire Organization Profile Owner or Director/Administrator will need to identify each employee's specific employment role/employment label that corresponds with the program’s license and permit types. This change was made in response to the need to provide the regulatory position names/labels as they relate to the Department of Health and Mental Hygiene (DOHMH), the New York State Office of Children and Family Services (NYS OCFS), and the Department of Education (DOE), specifically school district programs/licensed teachers.
So, in addition to the position title that your employee has listed on their Aspire Profile, you will need to assign the regulatory position.
On your Aspire Organization Profile, under the Employees tab, you will notice a "Permit(s)" column - this is where you will find the regulatory position status. If information about the regulatory position is missing, you will see one of the following:
- None Assigned: the employee is not assigned to one of your organization's license/permit number (Infant/Toddler or Preschool) and no regulatory position is indicated
- Regulatory Position Not Assigned: the employee is already assigned to one of your organization's permits/licenses, but no regulatory position is indicated
To add regulatory position information for your employees, click the green ellipsis (•••) button to the far right of each employee's name, and select Update.
On the Update Employment Record page, scroll down to the Licenses and Permits section, choose the appropriate Regulatory Position title for that employee, and click Update.
